SOP for DNS and Domain Changes

Purpose:



This SOP provides clear instructions for requesting changes to DNS settings, domain transfers, domain registrations, nameserver updates, and SPF record updates. It ensures a smooth process with ISSS handling the technical aspects. Any change requests not covered by this document will still be sent through a ticket to ISSS.

Scope:



This procedure is for users requesting changes to DNS records, domain transfers, domain registrations, nameserver updates, and SPF records.

##

Responsibilities:



User - Provide accurate and complete information when making a request.
User - To send the request through a ticket in BaseCamp so it can be assigned to ISSS
Instructions on how to raise a ticket through Slack can be found [here](https://3.basecamp.com/4139350/buckets/10103231/messages/5982931291).
ISSS - Execute the changes and keep the user informed of the progress and completion.

1. Domain Registration

##

When to Request:

When you need to register a new domain.

##

Steps:

1\. Determine the Domain Name: Choose a domain name and check its availability.

2\. Submit a Request with Information Required:

Desired domain name (e.g., example.com).
Preferred registration period (e.g., 1 year).
Additional Notes: Any specific instructions or preferences.

3\. ISSS Action: They will register the domain and notify you once completed.

2. Domain Transfer

##

When to Request:

When transferring a domain from one registrar to another.

##

Steps:

1\. Gather Information:

Current Registrar: Note the current registrar.
Transfer Authorization Code: Obtain this from the current registrar.

2\. Submit a Request with Information Required:

Domain name.
Transfer authorization code.
New registrar details (if applicable).

3\. ISSS Action: They will handle the transfer and update you on progress and completion.

3. DNS Changes

When to Request: When updating DNS records (e.g., A records, CNAME records, MX records).

Steps:

1\. Identify the Changes Needed: Determine which records need updating and the new values.

2\. Submit a Request with Information Required:

Domain name.
Type of DNS record to change (e.g., A record, MX record).
New values for the DNS record.

3\. ISSS Action: They will make the DNS changes and notify you when completed.

4. Nameserver Changes

##

When to Request:

When updating nameservers for a domain.

Steps:

1\. Obtain New Nameserver Information: Get details from your hosting provider or service.

2\. Submit a Request with Information Required:

Domain name.
New nameserver details (e.g., ns1.example.com, ns2.example.com).

3\. ISSS Action: They will update the nameservers and inform you of completion.

5. SPF Record Changes

When to Request:

When updating or adding an SPF (Sender Policy Framework) record to improve email deliverability and prevent spoofing.

Steps:

1\. Determine SPF Record Changes: Identify the new SPF record or modifications needed.

2\. Submit a Request with Information Required:

Domain name.
Current SPF record (if applicable).
New SPF record or changes needed. Example format: \`v=spf1 include:\spf.example.com \~all\`.
IP Address or server address you need to add to the SPF record

3\. ISSS Action: They will update the SPF record and notify you when the changes are complete.
