| 1. FOR IMMEDIATE REPLACEMENT (FAULTY UPON DELIVERY - NON-B\&G ITEM) |
Report to the supplier so we can get a replacement. If we have stocks, place a new order and use the coupon code ADMIN100 (Important: ADMIN100 needs to be activated before use and to be deactivated after). Then post in Basecamp (Start with the Order
& Customer Name so we can easily track) and ask the warehouse to send it to the customer.
We also need to confirm with the supplier if they need to get the faulty item back or not so we know which courier/driver to use. Once we get the replacement from the supplier, then we can CYCLE it back. If we don't have stocks, let Erica know so she can order it if the replacement from the supplier will take longer. Basecamp Task can be closed by the warehouse once the replacement is received. |

If we have stocks, place a new order and use the coupon code ADMIN100 (Important: ADMIN100 needs to be activated before use and to be deactivated after). If we don't have stocks, please let Erica know so she can order from B&G.
For HK Island/Kowloon - Please always ask Hung/Francis to collect the faulty item back when we deliver the replacement. For New Territories - check if the item is expensive or not. If the cost price is less than HK$100.00 (the price we paid for the product), no need for the customer to return (because the cost for shipping might be more than the actual cost of the product). If we're getting the item back, please fill up a DOA Form and post it on Basecamp and warehouse will return the item back to B&G.

| 3. REPLACEMENT IS NOT URGENT (FAULTY UPON DELIVERY) | If it sounds fine for the customer to wait a little, then that's better. Please report it to the supplier (Same, check if they need to get the faulty item back or not). Once they have confirmed when the replacement will arrive, please post in Basecamp to inform the warehouse that a replacement item will arrive and give the customer's details to ship it by Pickupp ND. This way - we can avoid scraping and cycling of stocks. |
| 4. WARRANTY REPLACEMENT (NON-B\&G ITEM) |
For items that have been used, please assess if we need to issue a replacement. Some brands have 12/24-Month Warranty i.e. machines like baby monitors.
For replacements, some suppliers deal with the customers directly, but most suppliers will send a replacement on their next delivery. Usually it's not urgent to issue a replacement if the item has been used and got faulty after a few weeks/months. If the customer is really upset, then issue immediate replacement. (Same process with 1 & 2).

| 6. NO REPLACEMENT AVAILABLE |
If the original item is already discontinued or is out of stock, the supplier will just issue us a "CREDIT NOTE" - which we'll deduct from our next payment.
For the replacement, try offering another item instead of issuing a refund. Check the prices and if the replacement is cheaper, issue a refund or coupon for the price difference. If the replacement costs a little more, assess and decide if we'll waive the price difference. You can also base it on the cost price (how much we bought it from the supplier). i.e. The original item is $399 and the customer paid $359.10 BFF Price. If the replacement she wants costs $499, which we bought for $299.40 from the supplier, then it's okay to waive the price difference. This will make the customer happy and at the same time, we're not losing money. We're just not making a big profit.
