1. Types of Product Descriptions

a. Purchasing Description



Purchasing Descriptions (PD) are the product names/descriptions used by the Purchasing and the Operations teams. PD format follows the product names that are set by the brands, which are also used on Purchase Invoices, import/export and delivery documents.
PDs are set by the Purchasing team.

b. Sales Description

Sales Descriptions (SD) are the product names/descriptions used by the Trade sales team as well as the Ecommerce team. SDs are to follow the below naming formats:

(Brand Name) (Range Name) (Product Name) – (variance, such as design, colourway or size)

Example: Skip Hop Zoo Pack – Owl

or

when there is more than one variance to the description:

(Brand Name) (Range Name) (Product Name) (fixed variance) – (variable variance)

Example 1: OXO Tot Baby Blocks Freezer Storage Containers 2 oz – Teal

In this example, 2 oz is the fixed variance as the volume of 2 oz doesn’t change across the colourways of this product. The colourway is the variable variance.

Example 2: Bravado Clip & Pump Black – L

In this example, the colour black is the fixed variance as the colourways doesn’t change across the sizing of this product. The size is the variance variance.

Another way to classified variance (whether one is fixed or variable), is from the perspective of the product page setup for the product. In example 1, the product page is selling the 2 oz OXO Tot Baby Blocks containers. The variance listed for on the page for customers to select are the colourways of teal, pink and navy.

 For products with volume sizing information, such as ml/oz, this variance is needed to be included to the SD.  Currently, the brands this rule applies to are OXO Tot and Nuby.
SDs are set by the Marketing Team.

c. Web Description

Web Descriptions (WD) are the product names/descriptions used by the Ecommerce teams. WDs are to follow the below naming format:

(Brand Name) (Range Name) (Product Name) (fixed variance, in the case when there is more than one variance)

Example 1: Skip Hop Zoo Pack

Example 2: OXO Tot Baby Blocks Freezer Storage Containers 2 oz

Variable variance is not to be added to the WD, but to set in the PIM as variances.  This gives the Ecommerce team the flexibility to choose the naming format that is best suited for each of the Ecommerce sites/stores that they are managing, as well as the flexibility on naming format between or within brands.
For example, on Skip Hop Zoo Packs, Ecommerce team will have the options of the below page setup and naming formats:

1. Using WD - One product page listing Skip Hop Zoo Pack and listing the animal designs as variances on the page
2. Using SD – Multiple product pages listing Skip Hop Zoo Packs (ie. one product page per Zoo Pack sku)

WDs are set by the Marketing Team.

2. Set up process

Purchasing team provides the PD and submits product set up request to MIS, along with the necessary product details. Purchasing will inform the Marketing team of the new sku set up in Netsuite at the same time.
Marketing team will set both the sales and web descriptions and provide to MIS to upload onto Netsuite. Variances are to be set up on PIM.
In the cases, when a brand has updated their product name/description after the product has been set up, Purchasing will submit the updated PD to MIS to upload to Netsuite and inform Marketing on the change and the above process repeats.
