A. TRANSFER ORDERS FOR CONSIGMENT (REPLANISHMENT ITEMS OR RETURNED ITEMS)

1 – Go to Transactions – Inventory – Click on Enter Transfer Orders

Consignment – Transfer Order settings does not have any unit prices.

To location – make sure it is the right consignment store. There are 12 locations at this moment:



1\.      Central – GIM

2\.      PT MAP Seibu GI

3\.      PT MAP Sogo Kokas

4\.      PT MAP KS PIM

5\.      Little Hannah

6\.      Kiddobaby

7\.      EC SCBD

8\.      Fany Baby

9\.      Lavie Baby

10\.  B\&B Cibubur

11\.  B\&B Kelapa Gading

12\.  B\&B Hang Lekir

Memo & Reference no – Indicate PO

there if available\


Item – Key in SKU & qty required.

Save the file. This transaction number should start with IT-INDxxxxxx.

Once delivery completed with YCH – we will then do manual receipt of the stocks in system.

For bulk upload :\
Create Transfer Order to get the IT number.\
Use HPSBOX – QTY 1 and save file.\
Prepare the upload csv file and use “[IND CONSIGNMENT UPLOAD](https://3817348.app.netsuite.com/app/setup/assistants/nsimport/importassistant.nl?recid=14331\&new=T)” to have it uploaded in system



\For consignment upload – use IND Consignment Upload



Select the csv file to upload then click

NEXT. on the next page, do not click anything else but NEXT.



As the above screenshot, if the csv file is correctly done, again, nothing to click here except to click on NEXT.

If something is wrong, in the centre frame of this screenshot Order#, Item, Quantity it will be showing X in red colour meaning something is wrong and have to fix the csv file and reupload.



This is the final landing page – click on RUN to complete the upload process.



Please wait till 100.00% complete before checking all qty is completely uploaded to your Transfer Order successfully.

B. CONSIGNMENT BILLING PROCESS



1\.      Create SO like usual invoice

2\.      Put the Customer name

3\.      Fill the Customer #PO and MEMO with following Month Sales report, if there’re any branch put the Branch name, ie:

\-        Apr’22 Sales Report

\-        Apr’22 Seibu GI Sales Report

\-        Apr’22 Hang Lekir Sales Report

4\.      Ensure the LOCATIONS is the consignment location, NOT YCH (IND).

5\.      Key in The SKU and QTY based on the Sales Report and Movement Report.

6\.      Please ensure the MARGIN is correct, each Customer have different Margin:

\-        Central-GIM               : 33% & 36% (if there’s event)

\-        MAP                             : 40%

\-        Little Hannah             : 25%

\-        Kiddobaby                   : 25%

\-        EC SCBD                      : 20%

\-        Birds & Bees              : 30%

\-        Fany Baby                   : 18%



Sales will inform if there’s any Promo with different Margin, use CUSTOM on the price level.

1\.      Fulfilled and Billed once all the items is correct and good.

C. CONSIGNMENT STOCK COUNT PROCEDURES & MOVEMENT REPORT



Before doing stock take, please provide stock take report as above for the counting. Every locations need to have a Stock Count Report.

Once got, please fill up on the MOVEMENT REPORT:





\-        Opening Stock           : The last Stock from Last Month Stock Take

\-        Delivery                       : Every Replenishment put the QTY on Delivery, fill date and IT Number

\-        Return                         : If there’s returned item, put the QTY fill date and IT number

\-        Stock Before Sales    : Total QTY from Opening, delivery and Return

\-        Physical Stock            : The Stock Take QTY

\-        Estimated Stock        : Result from Physical and Total Stock

\-        Highlighted column  : The QTY from Sales Report given by the Customer

\-        Discrepancy                : if there’s any difference between Estimated Stock & Sales report QTY

The Discrepancy should be 0, if there’s any minus or plus, please recheck again the Stock take Report and Sales Report.

Column that need attention and fill by Ops: Opening Stock, Physical Stock, Sales Report QTY (Highlighted)

MOVEMENT REPORT should be updated every month!

D.     CONSIGNMENT SALES REPORT BY CUSTOMER

Every customer need extra attention on their sales report:

1\.      Central-GIM

They will give the report every 1 or 2nd each Month, please note the billing process should be completed before 15th every month.



\-        They will separate each Brand in different Sheet

\-        SKU will not be show but there’s Barcode Number, you can check SKU with the Barcode

\-         Please pay attention to GP% (Margin), there are 2 different margin 33% & 36%

36% only happened if there’s promo/event, sales will info the Period Promo.

Make sure they put the correct Margin with correct Period Promo.

\-        Please Check for every Double SKU, they put the items based on Date Purchase.

\-        Ensure all Cost are tally with NS!

2\.      MAP (SEIBU, SOGO, KS PIM)

They will give the report every 4th-7th each Month, please note the billing process should be completed before 19th every month.



\-     They will combine 3 stores in 1 details Sheet, you can refer to Column Site to know each locations

\-     Please separate each location for easy checking

\-     For SEIBU, it’s quite complicated cause there are still some items are non-itemized (highlighted yellow), Steps to do:

1\.      The Stock Take report already received and put on Movement Report

2\.      After that, there will be discrepancy since Sales Report still unknown

3. Identify the non-itemized with RRP discrepancy items (Highlighted blue)



Stock Take Report really important to be accurate for this case!

\-        Ensure all QTY and Cost are tally with NS!

We also need to prepare Recap Finance for Payment Billing, we just copy from movement report:



4. Electronic City EC SCBD

They will give the report every week from Finance EC SCBD, usually they will email to Amelia.





\-        Just combine every report and check the cost and QTY are correct.

\-        EC SCBD have a unique process, they will send TT Confirmation every early Month.

\-        Ops need to check the RRP and QTY are tally with their Sales Report, after that inform Lina to signed the document



Once correct and signed by Lina, they need to send us the Debit Note to create Credit Note on our NS. Debit Note will be send around 20-25th Every month.




5. LITTLE HANNAH, KIDDOBABY, FANY BABY, BIRDS\&BEES & LAVIE BABY

for others customer aren’t complicated like 3 before, the Report just a usual report.

Just ensure the SKU, QTY, and Cost are correct and Tally with NS!

If there’s any promo, Sales will inform.

\-        Little Hannah will send the report every 28th end of the Month

They also will send stock count report, we can check and tally with our system

\-        Kiddobaby will send the report every 5th each month

They will send the stock count report, we can check and tally with our system.

Kiddobaby consignment Product: ERGOBABY



\-        Fany Baby will send the report 5-7th each Month

Need to check with Stock Take report and tally with their sales report

They have 2 reports from Kuningan City and ITC Kuningan City.



\-        Birds & Bees will send the report 15-20th each Month

Birds & Bees consignment Product: 4MOMS



\-        Lavie Baby will send the report 1-5th each Month

They have stock report, we can tally with them
